Job Description:

The administrative assistant/receptionist at LIV Development performs a variety of administrative and clerical tasks. Duties include providing regular support to the President/COO, CFO, and General Counsel of the company and assisting in daily office needs. This includes making meeting and travel arrangements, preparing reports and maintaining appropriate file systems. As the receptionist, you will be the first point of contact for the company. You will welcome and greet guests, distribute correspondence and direct incoming phone calls.Key Responsibilities* Answer and direct phone calls timely and professionally* Greet and welcome guests as they arrive at the office* Carry out basic administrative duties such as copying, typing, binding, scanning, etc. * Organize and schedule appointments* Plan meetings and take detailed minutes* Write and distribute email, correspondence memos, letters and forms* Assist in preparation of reports* Develop and maintain filing systems* Maintain conference room schedules and keep rooms in orderly manner* Receive, sort and distribute mail; coordinate deliveries and outbound shipments* Maintain and stock employee break room* Maintain office printers/copiers/scanners* Maintain inventory of office supplies* Assist with processing of utility bills of development projects* Make travel arrangements and schedule rental car delivery* Handle lunch orders and delivery as needed* Contribute to team effort by accomplishing related results as neededQualifications and Skills* Proficiency in MS Office Suite* Experience with office equipment* Professional attitude and appearance; strong phone skills and warm personality* Solid written and verbal communication skills* Excellent organizational skills with great attention to detail and accuracy* Ability to prioritize, multi-task and change work tasks frequently & efficiently* Highly resourceful team player; with the ability to be extremely effective independently* Must be punctual & reliable and have strong initiative and work ethicEducation and Experience * University or college degree is an asset but not required* Minimum two (2) years as an administrative assistant or similar position
