Fusion Sound and Lighting is a premier private event production company specializing in weddings, school dances, events, and medium large scale corporate AV production. We deliver high-impact audio, lighting, video, streaming, and DJ experiences — and we’re looking for an Operations Manager to ensure everything behind the scenes runs flawlessly. Position Overview As the Operations Manager, you will be the backbone of event execution at Fusion Sound and Lighting. Your primary mission will be to manage logistics, people, equipment, and processes to ensure every event runs smoothly — from client based pre-planning to last minute trouble shooting day of. You’ll oversee gear and design preparation with clients, staff coordination and scheduling, inventory organization systems, and operational workflows, ensuring the right people and the right equipment are in the right place at the right time. This role requires exceptional organization, leadership, attention to detail, and a proactive mindset. Key Responsibilities Pre-Event Planning & Coordination Review event details 4–8 weeks in advance, including venue specifications, gear requirements, limitations, floorplans, timelines, rentals, staffing, and special requests Confirm all required equipment based on event packages and add-ons Build and maintain detailed gear load out checklists for each event Coordinate specialty equipment for corporate AV productions (microphones, mixers, uplighting, projection, video systems, etc.) Communicate directly with DJs, technicians, clients, coordinator, and event leads to clarify requirements and ensure alignment Inventory & Equipment Management Maintain an accurate inventory tracking system for all company equipment Ensure gear is tested, labeled, and fully event-ready prior to deployment Oversee cleaning, repairs, preventative maintenance, and equipment lifecycle management Monitor loss prevention procedures and damage reporting Evaluate equipment needs and recommend upgrades, replacements, or expansions Warehouse & Load-Out Management Organize the warehouse for efficiency, safety, and scalability Stage equipment by event to ensure smooth and accurate load outs Supervise load-in and load-out logistics when required Develop systems that minimize mistakes, delays, and forgotten gear Create redundancy plans for critical or high-risk equipment / events Team Supervision & Process Improvement Train and supervise warehouse assistants and event preparation staff Hold team members accountable to preparation standards and timelines Foster a culture of ownership, reliability, and attention to detail Continuously evaluate and improve operational systems and workflows Support leadership in scaling operations to meet increasing event volume Operations & Logistics Supervisor — Role Expectations The Reality of This Role This is a full-time (40-hour-per-week) leadership position in a live-events company. Events do not happen Monday through Friday, 9–5 — they happen evenings and weekends. Because of this, the role requires significant schedule flexibility and a responsibility-first mindset. This is not a constant 60-hour grind role, but it is not a rigid desk job either. Some weeks will feel traditional or slow. Other weeks may require: Friday evening warehouse checks Saturday or Sunday event oversight Late-evening battery charging change overs On-site presence to ensure productions are executed properly Serving as the final quality-control checkpoint before equipment leaves the warehouse Your schedule will flex based on event volume, with weekday hours adjusted accordingly to maintain a 40-hour workweek. If you need a highly predictable weekly schedule, this is not the right position. If you take pride in being the person who makes sure nothing fails, this role will feel incredibly rewarding. Availability & Flexibility Expectations Available for oversight during peak event periods (Fridays–Sundays) Willing to adjust weekday hours to accommodate weekend operations Occasionally available for evening equipment checks or preparations Responsive during event windows in case of logistical issues Able to step in physically when necessary to resolve last-minute problems This role is built on ownership, not clock-punching. How We Structure the 40 Hours To keep the role sustainable and effective: Weekly schedules flex based on event volume and seasonality Ensure attendance of mandatory team, client, and manager 1-1 meetings Working to be ahead of logistics for busy weeks is key to avoiding 60 hour weeks We allow for your schedule to be created around you with the business in mind Weeks are not a set 9 to 5 and hours vary drastically at the end of the day if operations are on point the hours don't matter This is not chaos — it is managed flexibility designed to support both operational excellence and work-life balance.
