Administrative Projects Coordinator This position supports the project needs of a matrixed team that manages the hospitals Government Relations, Communications, Advocacy and Fundraising strategies. This position will also provide direct support to the Executive Vice President of the Alabama Childrens Foundation and the Vice President for Governmental Relations and their teams. The role requires the individual to manage multiple projects simultaneously and possess critical thinking, independent judgment and initiative on assignments that are often sensitive in nature. The role often communicates with executive-level contacts inside and outside the institution using high level communication and interpersonal skills. The Administrative Project Specialist must be a creative, collaborative individual with excellent time management, organizational, and communication skills. The position will perform a wide variety of complex administrative responsibilities and special projects while maintaining consistent attention to detail in deliverables and timelines; becoming fluent in all necessary software programs and functions; communicating in a professional and timely fashion with team members, customers and internal departments; and over time, acting as a liaison between the teams and projects. The individual may perform special assignments such as researching information, compiling reports, coordinating and tracking special projects and visits, summarizing incoming correspondence and publications and preparing initial drafts of correspondence. The individual in this role must have knowledge of organizational policy and procedure, and a high level of technical skills and time management skills. She/he would monitor and manage required reporting. The individual is responsible for the schedule management of the EVP of the Foundation and the VP of Governmental Relations. Responsibilities: + Serves as the main point of contact with the customers and all internal departments + Organizes and manages schedules, calendars, appointments and meetings + Screens phone calls, letters and emails and responds or escalates to appropriate team member for response + Performs a range of administrative and support duties including preparing correspondence, letters, emails, spreadsheets, presentations, maintaining sales and quota reports and providing ongoing assistance to managers + Coordinates, plans and manages of variety of special projects and coordinates with team members to achieve completion + Perform general research, data gathering compiling reports and/or projects + Maintains important annual files and records, especially relating to sponsorships, memberships, special correspondence, etc. Requirements: Bachelor's degree in English, Journalism, Communications, Marketing or related field and a minimum of seven (7) years of progressively responsible administrative and project related experience OR an equivalent combination of relevant education and experience. Experience working in a marketing or communications environment preferred. Requires advanced Microsoft Office software experience including PowerPoint, Word, Excel; Outlook, and web-based applications; excellent internet and research skills needed Skills & Qualifications: + Excellent communication and customer service skills + Exceptional organizational and project management skills + Detail oriented, with the ability to manage and meet deadlines + Ability to facilitate meetings effectively and efficiently + Editing skills with strong attention to detail + Strong oral and written communication skills + Proficient critical thinking skills to work autonomously, when necessary, with clear outcomes and objectives
