The Monitoring & Compliance Specialist serves to assist the Director of Monitoring and Compliance with daily duties.2. Able to assist in collecting/organizing Professional Development information in spreadsheet3. Able to assist with monthly in-kind calculation and collection4. Assist with preparation of staff orientation, including required trainings5. Organize Health & Safety Monitoring files under direction of Director of Monitoring and Compliance6. Collect PO's, compile/organize/reconcile PO's and vendor packing list7. Ability to research pertinent information as requested8. Maintain confidentiality in regards to staff and family information9. Participates in meetings, events and training as required10. Be present at work in order to provide consistency of services11. Ability to work as a team; communicate positively with other team members12. Demonstrate commitment to mission, values, and policies in the performance of daily duties13. React productively to change and handle all other work-related responsibilities as assignedEssential Duties & Responsibilities:Program Compliance Oversight: Assists with monthly facilities health and safety monitoring to assure timely communication with Operations regarding outstanding health and safety concerns. Assures that all Centers maintain up to date licensing in all required areas and that proper documentation/follow up is completed after licensing visits under the direction of the Director of Monitoring and Compliance Receives, investigates and acts upon significant incidents, accident reports and/or any complaints and concerns expressed by staff, parents and community under the direction of the Director of Monitoring and Compliance Coordinates with Service Area leads (Family Services, Education Leaders and others as appropriate) to conductCenter Success Rubric self-assessment processes and validation visits. Assist in developing and carrying out action plans to promote quality improvement based upon CSR ratings.Page 1 of 4 Revised 8/2022Job DescriptionMonitoring & Compliance SpecialistCommunication and Service Coordination Participate in team and 1-1 meetings, regularly scheduled and as needed, to ensure coordination of services across the Head Start program. Actively participate in the Head Start community, including staff meetings, mandated training, committee meetings, and other program-wide functions as needed, including some evening activities. In coordination with the Director of Monitoring and Compliance, evaluates MBI and gathers information, identifies trends that affect current and future outcomes.Record Keeping and Reporting Maintain documentation of monitoring, coaching and training activities, adhering to Childcare Resources existing systems (Master Binders, ChildPlus etc.) whenever applicable. Complete monthly reports on area activities and progress toward goals with recommended modifications to plans, submit to Director of Monitoring and Compliance as scheduled.Human Resources Familiar with the agency and program personnel policies and procedures. In coordination with the Director of Monitoring and Compliance, create, work methods and procedures that support improvements in existing work practices; supporting the Master Education Leaders, Education Leaders,Teachers, Assistant Teachers and Clerks. Plan and adjust work operations to meet changing or emergent program requirements within available resources and with minimum sacrifice to quantity or quality of work. Strong interpersonal skills Demonstrated computer literacy skills, using MS Office applications and other basic data systems including internet navigation. Must be honest, dependable and able to meet deadlines. Self-motivated and able to work independently.Physical Requirements: Ability to sit most of the time with some bending and reaching. Ability to stand, walk, and bend periodically. Ability to engage in repetitive movement of wrists, hands, and fingers - typing and/or writing. Ability to work frequently at close visual range (i.e. preparing and analyzing data and figures, accounting, transcription, computer terminal, extensive reading). Ability to receive and respond to oral communication. Ability to exert up to 20 pounds of force to lift, carry, push, pull, or otherwise move objects.Work Environment: Work is generally performed in an office environment. Noise level in the work environment is moderate to occasionally loud (examples: business office with computers and printers, light to moderate traffic, human voices).
